Contract Management / Administration

  1. Pre-Contract - Client / EPCM

    • Compilation of Scopes of Work

    • Preparation of Tender Documents

    • Send out Invitation for tenders

    • Tender evaluation

    • Prepare contract documents.

  2. Post Contract – Client / EPCM

    • Liaise with the client’s project management team to follow up pending approvals and correspondence trail.

    • Liaise with construction personnel and project management team.

    • Coordinate the weekly progress meetings, prepare and publish meeting minutes in consultation with project management team.

    • Maintain and track the progress of Action Items Tracking Register of the Progress Meetings.

    • Create Site Instructions and maintain the register.

    • Manage the RFI’s from contractor and ensure the response are made in time and maintain the register.

    • Process contractual claims, variations and extension of time claims and maintain the registers in document management system.

    • Coordinate with project planner to monitor the progress in accordance with the Project schedule and report to project stake holders of the status.

    • Reconcile the quantities with the site Engineers.

    • Maintain close contacts with site supervision team to monitor the progress of the ongoing works in line with the scope of work and to flag the deviations to project management team.

    • Evaluate and process the progress claims for work completed submitted by Contracts.

    • Evaluate and recommend disputed claims.

    • Maintain all incoming and outgoing contractual correspondence in the document management system in accordance with project procedures

    • Ensure insurance compliance and request updates from the Contractors as required.

    • Assist in the preparation of monthly project cost reports.

    • Other duties as required by the Contracts Manager and the Project Management team

  3. Post Contract – Contractor

    • Prepare subcontract packages; manage the subcontract tender process.

    • Conduct pre-award tender meeting and prepare the minutes of the meeting to be incorporated in the contract document.

    • Prepare the sub-contractor contract documents. Follow up process of contract documentation on award of subcontracts.

    • Support the Project Manager with labor coordination, raising purchase orders and mobilization

    • Liaise with client’s project management team.

    • Attend the progress meetings and follow up the actions on action tracking register to ensure all items are completed.

    • Maintain subcontractor and supplier register.

    • Ensure the sub-contractor compliance of company policies, insurances, statutory requirements, safety and environmental guidelines.

    • Maintain close contacts with site supervision team to monitor the progress of the ongoing works in line with the scope of work and to flag the deviations to project management.

    • Process contractual claims, variations and extension of time claims

    • Prepare, submit and follow up progress claims for work completed.

    • Evaluate and follow up disputed claims.

    • Maintain all incoming and outgoing contractual correspondence in the document management system in accordance with company and project procedures.

    • Administration of Subcontracts/Agreements including assessment of progress claims, variations and extension of time notifications & claims.

    • Assist in the preparation of monthly project cost reports.

    • Manage the submission of as built records, MDR’s and operation manuals.

    • Finalize Head Contract and Subcontract accounts at completion of the Projects
